A university office introduced software to sort applications into categories. The system reduced repetitive work, and staff could review cases more quickly. Because most applications were routine, the improvement was easy to see. Problems emerged when unusual cases were placed in categories that looked reasonable but did not capture their circumstances.
Some staff assumed that a consistent system was necessarily fair. A colleague noted that consistency meant applying the same procedure, not guaranteeing that the procedure was appropriate in every case. If the categories failed to represent a relevant distinction, applying them consistently would reproduce the same oversight.
